Journey With The Best
Last Updated: 14 October 2026
These Booking Conditions explain the terms under which Journey With The Best arranges and provides travel services, guided tours, private trips, accommodation arrangements, transportation, and related travel assistance in Pakistan and Afghanistan.
By making a booking with Journey With The Best, you confirm that you have read, understood, and agreed to these Booking Conditions. If you make a booking on behalf of other travelers, you confirm that you are authorized to accept these conditions on their behalf.
In these conditions, “we,” “us,” and “our” refer to Journey With The Best. “You” and “your” refer to the person making the booking and all travelers included in the reservation. “Services” refers to tours, transportation, accommodation arrangements, guides, travel assistance, and other services confirmed in your booking.
1. Making a Booking
1.1 To request a booking, you must provide accurate information, including your full name, contact details, intended travel dates, number of travelers, and any other information reasonably required to arrange your trip.
1.2 Your booking request is not confirmed until we have reviewed your requirements, confirmed availability, agreed on the applicable price and itinerary, and issued written booking confirmation.
1.3 A deposit or advance payment may be required to secure your booking. The amount, payment deadline, and any remaining balance will be communicated to you before payment.
1.4 Please review your booking confirmation carefully, including travel dates, destinations, services, accommodation arrangements, inclusions, exclusions, and prices. Notify us promptly of any errors.
1.5 We may communicate with you through email, telephone, WhatsApp, or other agreed communication channels. You are responsible for checking your messages and providing accurate contact information.
1.6 If you book on behalf of a group, you are responsible for communicating the relevant booking information and conditions to all members of your party.
2. Prices and Payments
2.1 All prices will be quoted in the currency specified in your proposal, invoice, or booking confirmation.
2.2 The total cost of your trip will depend on the selected itinerary, travel dates, number of travelers, accommodation category, transportation, activities, and other requested services.
2.3 The required deposit and final payment deadline will be specified in your booking confirmation. Unless otherwise agreed in writing, the final balance must be paid by the date stated on your invoice.
2.4 Your booking is not guaranteed until the required payment has been received and the relevant services have been confirmed.
2.5 Payments must be made through the payment methods approved and communicated by Journey With The Best. Any applicable bank charges, international transfer fees, or currency conversion charges will be disclosed where known and must be paid by the responsible party.
2.6 If a payment is overdue, we may provide written notice and a reasonable opportunity to resolve the issue. Where payment remains outstanding, we may suspend arrangements or cancel the booking in accordance with these conditions and applicable law.
2.7 Any additional services requested after confirmation may result in additional charges. These charges will be communicated for your approval before the additional services are arranged, where reasonably practicable.
3. Booking Confirmation and Contract
3.1 A binding booking agreement comes into effect when we issue written confirmation of your booking after accepting your request and satisfying the applicable booking requirements.
3.2 Your booking confirmation, agreed itinerary, invoice, and these Booking Conditions form the basis of your agreement with Journey With The Best.
3.3 Any special arrangements or amendments agreed after confirmation should be recorded in writing.
3.4 If any part of your booking information is unclear or incorrect, please contact us as soon as possible so that we can review it.
4. Passports, Visas, and Entry Requirements
4.1 You are responsible for holding a valid passport and obtaining all visas, permits, authorizations, and travel documents required for your journey to, within, or through Pakistan and Afghanistan.
4.2 Entry requirements depend on your nationality, passport type, travel history, and the rules in force at the time of travel. Requirements may change without notice.
4.3 We may provide general information and assistance with Pakistan visa applications and Afghanistan visa or embassy procedures where such assistance is available. This assistance does not guarantee visa approval, entry permission, or the issuance of any travel authorization.
4.4 Visa decisions remain the responsibility of the relevant government authorities, embassies, consulates, and immigration officials.
4.5 You must provide accurate information and submit the required documents within the relevant deadlines. Any government fees, application fees, translation charges, or other visa-related expenses must be paid as agreed.
4.6 We are not responsible for denied visas, delayed applications, denied boarding, refused entry, or additional expenses arising from incomplete documentation, inaccurate information, or decisions made by government authorities, except where responsibility cannot lawfully be excluded.
4.7 If you are unable to travel because a required visa or authorization is refused or delayed, our cancellation and amendment conditions will apply, subject to applicable law and any specific written agreement.
5. Health, Fitness, and Travel Preparation
5.1 You are responsible for assessing whether your chosen itinerary and activities are suitable for your health, fitness, and personal circumstances.
5.2 Please inform us before booking of any mobility limitations, medical requirements, allergies, dietary restrictions, or other needs that may affect your trip. We will consider reasonable requests and advise you about available arrangements.
5.3 You should consult a qualified healthcare professional regarding recommended vaccinations, medications, and health precautions before traveling.
5.4 You are responsible for carrying any necessary medication, prescriptions, and personal medical supplies.
5.5 Certain destinations and activities may involve long drives, high altitudes, uneven terrain, remote locations, changing weather, limited facilities, or other physical challenges. You should review the itinerary carefully before confirming your booking.
5.6 We may request additional information about your suitability for particular activities when reasonably necessary for safety. Where a traveler cannot safely participate in an activity, we may arrange an alternative where possible.
6. Travel Insurance
6.1 We strongly recommend that every traveler obtain comprehensive travel insurance before departure.
6.2 Your policy should cover the activities and destinations included in your itinerary and, where appropriate, medical treatment, emergency evacuation, repatriation, trip cancellation, travel delays, baggage loss, and personal liability.
6.3 You are responsible for checking that your insurance covers travel to Pakistan and Afghanistan, including any specific regions or activities included in your trip.
6.4 Insurance coverage, exclusions, and eligibility vary by provider. We cannot guarantee that a particular policy will cover your circumstances.
6.5 You should carry your insurance details and emergency contact information throughout your trip.
7. Changes Requested by You
7.1 If you wish to change your travel dates, itinerary, accommodation, transportation, group size, or other booking details, please contact us in writing as soon as possible.
7.2 We will make reasonable efforts to accommodate your request, subject to availability and operational feasibility.
7.3 Changes may result in additional costs, including supplier charges, transport costs, accommodation price differences, administrative fees, or other expenses. Any applicable charges will be communicated before the change is confirmed.
7.4 Significant changes to dates or itineraries may require cancellation of the original arrangement and creation of a new booking.
7.5 If a traveler cannot participate in the trip, transferring their place to another person may be possible with our written approval, subject to visa requirements, supplier restrictions, available capacity, and any applicable costs.
8. Cancellation by You
8.1 If you wish to cancel your booking, you must notify Journey With The Best in writing using the contact details provided in your booking confirmation.
8.2 Your cancellation will take effect when we acknowledge receipt of your written notice. The date of receipt will be used to determine any applicable cancellation charges.
8.3 Cancellation charges will depend on the time remaining before departure, the services already arranged, supplier terms, non-refundable expenses, and the cancellation schedule communicated to you before booking.
8.4 Unless a different cancellation schedule has been expressly agreed in writing, the following standard schedule may apply to the tour services covered by your booking:
-
More than 60 days before departure: the deposit may be retained.
-
31–60 days before departure: up to 50% of the tour price may be charged.
-
15–30 days before departure: up to 75% of the tour price may be charged.
-
14 days or fewer before departure: up to 100% of the tour price may be charged.
8.5 These charges are subject to applicable law and any mandatory refund rights. They should reflect the applicable booking terms, costs incurred, and losses reasonably arising from cancellation. Any refunds, credits, or recoveries from suppliers will be handled in accordance with the booking agreement and applicable law.
8.6 Certain services, including airline tickets, permits, special accommodation arrangements, private transportation, or advance-purchased activities, may be subject to separate cancellation terms. These terms will be communicated before you confirm the relevant service.
8.7 If only some members of a group cancel, the price for the remaining travelers may change if the original price was based on a minimum group size or shared expenses.
8.8 If you fail to arrive at the agreed meeting point, join the tour late, leave the tour early, or choose not to use a confirmed service, a refund will not automatically be available. Any refund will depend on the applicable booking terms, supplier policies, and applicable law.
9. Changes or Cancellation by Us
9.1 We aim to deliver the itinerary and services agreed at the time of booking. However, changes may occasionally be necessary because of weather, road conditions, transport availability, accommodation changes, permit restrictions, security developments, government instructions, or other circumstances beyond our reasonable control.
9.2 If a minor change is necessary, we will inform you as soon as reasonably practicable and offer a suitable alternative where possible.
9.3 If a significant change is necessary before departure, we will inform you and explain the available options. Depending on the circumstances and applicable law, these may include accepting the revised itinerary, choosing an appropriate alternative, or cancelling with a refund of eligible payments for services not provided.
9.4 If we cancel a confirmed booking for reasons within our control, we will explain the reason and arrange any refund or other remedy required by the booking agreement and applicable law.
9.5 We may cancel or modify a trip if minimum participation requirements, operational limitations, safety concerns, or other material circumstances make the original arrangements impracticable. Any applicable notice, refund, or alternative arrangements will be handled in accordance with the agreed booking terms and applicable law.
9.6 If a traveler behaves in a way that creates a serious safety risk, threatens other travelers or staff, or materially disrupts the trip, we may take reasonable steps to protect those affected, including removing the traveler from an activity or arranging for them to leave the tour where necessary and lawful. Any refund will be determined by the circumstances and applicable law.
10. Itinerary, Accommodation, and Transportation
10.1 We will provide the itinerary and the services specifically listed in your booking confirmation.
10.2 Travel times and itineraries are estimates and may change because of road conditions, weather, traffic, security restrictions, local events, transport disruptions, or other circumstances.
10.3 Accommodation is provided according to the category, room type, and arrangements confirmed at the time of booking. Specific rooms, views, facilities, or early check-in and late check-out are subject to availability unless expressly guaranteed in writing.
10.4 If a confirmed accommodation or transportation service becomes unavailable, we will make reasonable efforts to arrange a suitable alternative.
10.5 Private transfers, airport pickups, guided visits, attraction tickets, luggage delivery, private tuk-tuk rides, eSIM arrangements, and other optional services are included only when specifically confirmed in your booking.
10.6 Services provided by independent airlines, hotels, transport operators, telecommunications providers, attractions, or other third parties may be subject to their own terms and conditions.
11. Safety and Local Conditions
11.1 Travel in Pakistan and Afghanistan may involve changing security conditions, remote roads, mountainous terrain, extreme temperatures, limited medical facilities, and other risks.
11.2 We will make reasonable efforts to monitor relevant operational and safety information available to us and to organize trips responsibly.
11.3 We reserve the right to change routes, schedules, destinations, activities, or transportation where reasonably necessary for the safety of travelers, guides, drivers, or local communities.
11.4 You must follow reasonable safety instructions given by your guide, driver, tour leader, or other authorized representative during the trip.
11.5 You are responsible for complying with local laws, regulations, customs, and instructions issued by relevant authorities.
11.6 We cannot guarantee that every destination, road, attraction, facility, or service will remain accessible throughout your trip.
12. Responsibilities of Travelers
12.1 You must provide accurate booking details and disclose relevant information needed to arrange your services safely and correctly.
12.2 You must arrive at the agreed meeting points on time and follow the itinerary and reasonable instructions provided by our team.
12.3 You are responsible for your personal belongings, travel documents, valuables, and medication.
12.4 You must treat local communities, guides, drivers, staff, fellow travelers, and service providers respectfully.
12.5 Any damage to accommodation, vehicles, equipment, or other property caused by your negligent, reckless, or intentional conduct may be charged to you where legally permitted.
12.6 You must not engage in unlawful, threatening, abusive, or dangerous behavior during the trip.
13. Our Responsibilities and Liability
13.1 We will exercise reasonable care and skill in arranging and providing the services that we have expressly agreed to deliver.
13.2 Our responsibilities will depend on the services included in your booking and the role we perform in arranging or supplying them.
13.3 We are not responsible for independent services that we have not agreed to arrange or provide, except where applicable law requires otherwise.
13.4 Nothing in these Booking Conditions excludes or limits liability where such exclusion or limitation is prohibited by law, including liability for fraud, or for death or personal injury caused by negligence where applicable law prohibits exclusion.
13.5 Subject to applicable law, we will not be responsible for losses arising solely from circumstances outside our reasonable control, the actions or omissions of the traveler, or the independent actions of third parties for whom we are not legally responsible.
13.6 Any permitted limitation of liability will be applied only to the extent allowed by the law governing the booking.
14. Force Majeure and Unavoidable Circumstances
14.1 Force majeure refers to exceptional events or circumstances that are beyond our reasonable control and whose consequences could not reasonably have been avoided.
14.2 Such events may include armed conflict, terrorism, civil unrest, border closures, government restrictions, natural disasters, floods, earthquakes, severe weather, epidemics, pandemics, major transport disruptions, and other comparable events.
14.3 If such circumstances affect your trip, we may need to change, postpone, suspend, or cancel some or all of the arrangements.
14.4 We will make reasonable efforts to communicate important changes and consider practical alternatives where available.
14.5 Refunds, credits, additional expenses, and other remedies will depend on the services affected, amounts recoverable from suppliers, the agreed booking terms, and applicable law. Nothing in this clause removes any mandatory rights you may have.
15. Complaints and Customer Support
15.1 If you experience a problem during your trip, please inform your guide, local representative, or our team as soon as possible so that we have an opportunity to address it.
15.2 Please provide relevant details, supporting documents, photographs, or receipts where appropriate.
15.3 If the issue remains unresolved, submit your complaint in writing using the contact details in your booking confirmation.
15.4 We will review complaints fairly and make reasonable efforts to respond within a reasonable period.
15.5 Reporting a problem promptly helps us investigate and may allow us to resolve the issue while your trip is still in progress. This does not remove any legal rights you may have.
16. Photography and Marketing
16.1 We may take photographs or videos during trips for operational or promotional purposes only where we have an appropriate legal basis and have complied with applicable consent and privacy requirements.
16.2 We will respect reasonable requests not to photograph or feature a traveler in promotional material and will provide a way to communicate such preferences.
16.3 We will not knowingly use identifiable images of travelers for promotional purposes where the required consent has not been obtained.
17. Personal Information and Privacy
17.1 We collect and use personal information needed to process bookings, arrange travel services, communicate with travelers, and meet applicable legal obligations.
17.2 Information may be shared with relevant guides, hotels, transport providers, visa-assistance partners, or other service providers when necessary to deliver your booking.
17.3 We will handle personal information in accordance with our Privacy Policy and applicable data protection requirements.
17.4 You should review our Privacy Policy to understand how your information is collected, used, stored, and protected.
18. Independent Suppliers and Third-Party Services
18.1 Some services may be delivered by independent suppliers, including hotels, airlines, transport companies, activity providers, telecommunications providers, and attraction operators.
18.2 Those services may be governed by additional supplier terms, safety requirements, cancellation policies, or operational restrictions.
18.3 We will communicate material conditions that are made known to us and are relevant to your booking.
18.4 Nothing in this clause excludes any responsibility we have under the booking agreement or applicable law.
19. Currency, Additional Expenses, and Refunds
19.1 The price confirmed in your invoice covers only the services expressly listed as included.
19.2 Unless otherwise stated, personal expenses, optional activities, additional meals, tips, travel insurance, visa and permit fees, international flights, and other unlisted expenses are not included.
19.3 If an unavoidable change results in additional costs, we will explain the reason and seek your agreement before committing you to optional additional services, wherever reasonably practicable.
19.4 Approved refunds will be processed using the original payment method where possible, subject to payment-provider procedures and applicable law.
19.5 Processing times may vary depending on banks, payment providers, and international transfers.
20. Governing Law and Disputes
20.1 We aim to resolve booking-related disagreements through clear communication and good-faith discussion.
20.2 If a dispute cannot be resolved informally, the applicable law and courts will be determined by the valid agreement between the parties and the mandatory laws applicable to the booking.
20.3 Nothing in these conditions removes any consumer rights or legal protections that cannot lawfully be waived.
21. Amendments to These Conditions
21.1 We may update these Booking Conditions from time to time to reflect changes in our services, operational requirements, or applicable law.
21.2 The version applicable to your booking will normally be the version accepted when your booking is confirmed, unless a later change is agreed with you or is otherwise permitted by law.
